Ordering

Minimum order quantities vary depending on the product:
- Most bespoke sublimated garments: 10 items
- Repeat sublimated orders: 5 items
- Bespoke traditional rugby shirts: 15 items
- Stock garments: no minimum order

Yes. We keep your approved designs on file, making it easy to order additional garments in the future.

Our bespoke sublimated garments and traditional knitted shirts are manufactured at our factory in Staffordshire.
Producing these garments in-house allows us to monitor quality closely and offer some of the quickest lead times in the industry. Some stock garments and accessories may be sourced separately before being personalised by our team.
Delivery
Our standard lead times are:
- Bespoke and sublimated garments: approximately 3–4 weeks
- Personalised stock garments: approximately 2 weeks
Lead times begin once the order, artwork, sizes and payment have been confirmed. Particularly large or complex orders may take longer, but we’ll discuss this with you before production begins.
Completed bespoke orders are normally sent using DPD Next Day delivery within the UK. You’ll receive tracking information by email, followed by a one-hour delivery window from DPD when the parcel is out for delivery.
Club Shop orders are sent using Evri or DPD and normally arrive within 3–7 working days after dispatch.
How much does delivery cost?
Our current UK delivery charges are:
- Orders under £60: £4.95
- Orders from £60 to £150: £6.50
- Orders over £150: £7.50
All orders are insured during delivery. Please contact us before ordering if you require delivery outside mainland UK or have any special delivery requirements.
Yes. Once your order has been packaged and dispatched, you’ll receive an email containing your tracking information. The courier may also contact you directly with delivery updates.
Yes. We work with brands, retailers and other businesses that require garments produced on a trade basis.
Trade pricing is available for suitable customers and is designed to reflect the volume and frequency of ongoing or repeat orders. Contact our team with some information about your brand, the products you require and your expected quantities, and we’ll discuss the available options.
Artwork
– To avoid design charges please send all artwork in one of the following formats:
.AI (Adobe Illustrator): This is a vector based file created in Adobe Illustrator and is the preferred format for all decoration and will produce the highest quality finish
.EPS (Encapsulated Post Script): A true EPS will be a vector based file and can therefore be used in the same way as an Adobe illustrator file to produce a high quality finish
.PDF (portable document file): A high resolution PDF file is acceptable as long as the original file was created in Adobe Illustrator
– If suitable artwork isn’t supplied we offer a redraw service which is charged at £25+vat per logo.
JPG and PNG files may be suitable when supplied at a high resolution, but they are not always suitable for garment production. We’ll check the file and let you know whether it can be used or needs to be redrawn.
If suitable production-ready artwork is not supplied, we offer a professional redraw service charged at £25 plus VAT per logo.
We’ll let you know if a redraw is required and confirm any charge before beginning the work.
Yes. We’ll provide a visual proof showing the agreed design, colours, logos and personalisation before production begins. Please check the proof carefully, as production will only start once it has been approved.
Yes. We can match your existing club colours as closely as possible using supplied colour references, Pantone codes or physical samples.
Please be aware that colours can appear slightly different depending on the fabric, printing process and garment type. We’ll always aim to achieve the closest possible match and will discuss any potential differences with you before production.
Club Shops
Vulcan Sports offers a free online Club Shop service for clubs and organisations. Contact our team with your club details and the products you would like to offer, and we’ll guide you through the setup process.
No. Our Club Shops are free to set up for Vulcan Sports customers.
Members can visit their club’s dedicated online shop, select the required products and sizes, and pay for their order online. This removes the need for the club to collect individual orders and payments manually.
Yes. Club Shop orders can be delivered directly to the customer’s chosen address or collected from our shop in Leek.
If several members are ordering at around the same time, we may also be able to combine their orders into one delivery to help save on postage. Please contact us before ordering if you would like to arrange a combined delivery.
Yes. Contact our team if you would like to add a new product, update an existing design or remove an item from your Club Shop. We’ll review the requested changes and update the shop where possible.
If we hold remaining stock of a product you ask us to remove, your club may be required to purchase that stock before the product can be discontinued. We’ll confirm this with you before making any changes.
Products & Care
Yes. Size guides are available for our product ranges to help you select the most appropriate fit. Please check the relevant product page or contact our team if you need a copy of a particular guide.
Yes. Sizing samples can be arranged through one of our sales representatives and must be returned after use.
- Wash garments promptly after use.
- Turn them inside out before washing.
- Follow the temperature and washing instructions on the garment label.
- Wash similar colours together.
- Do not use bleach, as it can damage the garment and its colours.
We recommend allowing garments to dry naturally. Reshape them while damp and avoid tumble drying unless the care label specifically states that it is permitted.
Most garments should not need ironing when washed and dried correctly. If ironing is required, turn the garment inside out and use the lowest suitable temperature.
Avoid ironing directly over printed logos, badges, numbers or other decoration, and always follow the garment’s care label.
Splitting washing, drying and ironing into three questions makes this information much easier to find.
